1) About TheHagueMag.Club and acceptance of these Terms
These Terms and Conditions govern access to and use of the website TheHagueMag.Club and any related services, events, and communications (together, the “Services”).
“The Club”, “we”, “us”, and “our” mean TheHagueMag.Club (Unincorporated Association), based in The Hague, Netherlands.

By using the Services, you agree to be bound by these Terms. If you do not agree, you must not use the Services.
2) Eligibility, minors, and parental responsibility
Our activities are designed for children aged 6 to 12.
All website forms and registrations must be submitted by a parent or legal guardian who has authority to act for the child.
Mandatory rule for all activities: Minors must always be accompanied in person by a parent or parents for the full duration of every activity. Minors must never attend alone. Minors are never under the care or supervision of the organisers.
Parents or guardians remain fully responsible for supervision at all times. In the Netherlands, parental consent is required for children to use information society services until age 16. You agree to provide and maintain such consent where required.
3) Communications and explicit consent (Email and WhatsApp)
When you sign up, you may give explicit consent for the Club to contact you by:
Email for updates about events, activities, training sessions, equipment lists, safety advice, and other club-related matters.
WhatsApp for the same purposes, including one-to-one messages and WhatsApp Group announcements.
WhatsApp Groups
If you join a WhatsApp Group, your phone number and profile name may be visible to other members. Join only if you accept this.
WhatsApp is used for timely updates such as schedule changes and safety alerts.
Your mobile provider may apply data or messaging charges.
Withdrawing consent
Email: click Unsubscribe in our emails or write to info@thehaguemag.club.
WhatsApp: leave the group or send “STOP” to +31 615 171 218.
Withdrawal does not affect communications that were lawful before withdrawal.
4) Events, activities, equipment, and safety
Outdoor activities such as magnet fishing involve inherent risks, including slips, cuts, cold or contaminated water, and the discovery of sharp, heavy, hazardous, or illegal items.
By registering a child, the parent or guardian:
Confirms and accepts the mandatory rule that the child will be accompanied in person by a parent or parents for the entire duration of every activity. The organisers do not provide childcare or supervision.
Agrees to follow all safety instructions issued by the Club, including mandatory equipment lists (for example, cut-resistant gloves, appropriate footwear, and buoyancy aids where advised).
Agrees that any suspected hazardous or illegal item (for example, explosives, firearms, or stolen goods) will not be handled and that the Club instructions will be followed, which may include contacting local authorities.
Confirms that the child is medically fit to participate and that the Club will be informed of allergies or relevant health conditions.
The Club may deny or stop participation if safety is at risk.
5) Code of conduct (website, email, and groups)
You must not post or share content that is unlawful, defamatory, obscene, discriminatory, harassing, or that infringes third-party rights.
In WhatsApp Groups and on our platforms:
Be respectful and stay on club topics.
Do not advertise goods or services without prior written approval from the Club.
Do not share private personal data of others without permission.
We may moderate or remove content and may suspend access to protect members and comply with law.
6) User content and licence
If you post, upload, or share content (for example, comments or photos), you grant the Club a non-exclusive, worldwide, royalty-free licence to use, reproduce, display, adapt, and distribute that content for club purposes and promotion, in any media, subject to applicable law and your privacy rights.
You confirm you have the rights necessary to share that content.
7) Photography, video, and media (explicit authorisation)
By registering for and participating in activities organised by The Hague Mag Club, you expressly authorise the Club to take photographs and videos during those activities and to upload and display such images on our website, https://www.TheHagueMag.Club, including images of all participants and accompanying adults.
Additional safeguards:
For minors, this authorisation is given by the parent or legal guardian during registration through an explicit consent checkbox and may be reconfirmed at on-site check-in.
If you do not wish to appear in photographs or videos, inform us before the event at info@thehaguemag.club, or inform the organiser at check-in, and we will provide reasonable measures (for example, a no-photo wristband or designated no-photo area).
You may withdraw media consent at any time for future uses by writing to info@thehaguemag.club. Withdrawal does not affect images that were lawfully captured and published before withdrawal.
8) Intellectual property
Unless stated otherwise, all materials on TheHagueMag.Club are owned by the Club or our licensors and are protected by intellectual property laws.
You may access the website for personal, non-commercial use. You must not copy, republish, sell, rent, or redistribute our materials without prior written permission.
9) Cookies and similar technologies (EU ePrivacy and GDPR)
We use cookies and similar technologies in line with EU law.
Categories we use
Strictly necessary cookies: essential for website operation. These do not require consent.

Sharing and international transfers
We use trusted processors for hosting, analytics, and communications under written agreements.
Use of WhatsApp involves processing by WhatsApp LLC / Meta Platforms and may involve international transfers outside the EEA. We rely on applicable safeguards such as the EU-US Data Privacy Framework and/or Standard Contractual Clauses.
Retention
Membership and consent records: up to 6 years after the last activity.
Email and WhatsApp logs: up to 24 months, unless a longer period is required for safety or legal reasons.
Safety incident records: as required by law or authority guidance.
Analytics data: according to Cookie Settings and the analytics provider.
Your rights
Access, rectification, erasure, restriction, portability, and objection.
Right to withdraw consent at any time.

12) Fees, bookings, and refunds
Access to the website is free of charge unless stated otherwise.
If an event or activity has a fee, the price and payment method will be displayed during registration.
Refunds for cancellations follow the specific event policy shown at the time of booking. Administrative or third-party processing fees may be non-refundable.
13) Disclaimers and limitation of liability
To the maximum extent permitted by law:
The Services are provided “as is” and “as available”. We do not guarantee uninterrupted or error-free operation.
We are not liable for indirect, incidental, or consequential losses, loss of data, or loss of opportunity.
Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or any liability that cannot be excluded under applicable law.
14) Indemnity
You agree to indemnify and hold the Club harmless from claims arising out of your breach of these Terms or misuse of the Services, except where prohibited by law.
15) Suspension and termination
We may suspend or terminate access to the Services, groups, or events where you breach these Terms, where safety is at risk, or where required by law.
16) Changes to these Terms
We may update these Terms from time to time. Material changes will be announced on the website or, where appropriate, by email or WhatsApp. Continued use after the effective date means that you accept the changes.
17) Governing law and jurisdiction
These Terms are governed by the laws of the Netherlands.
The courts of The Hague, Netherlands will have exclusive jurisdiction, without prejudice to mandatory consumer protections under applicable law.
